Grant Proposal Submission Form
Faculty and staff who are proposing external grant submissions are invited to complete the University of Providence Grant Proposal Form. This form ensures proposed grants align with the university’s mission and strategic goals, while helping the Grant Oversight Action Team evaluate feasibility, impact, and long-term sustainability.
When completing the form, applicants will be asked to summarize the purpose of their grant, it’s funding details, alignment with institutional priorities, and any anticipated outcomes. Prior to submission, please ensure your proposal has been approved by your respective supervisor using the Grant Proposal Routing Form.
All responses are limited to 1,250 characters. Proposals will be reviewed to support responsible grant development that elevates student success and enriches the campus community.

Grant Operations Overview
The Grant Operations Concept outlines a structured, decentralized approach to developing and managing grants – including a cross-departmental analysis and review conducted by the Grant Action Team (GAT). This process aims to empower faculty and staff identify and pursue grant opportunities while ensuring alignment with institutional goals and strategic objective. This system of identification, evaluation, endorsement and monitoring aims to promote transparency, accountability, and strategic growth of the university, while encouraging the cultivation of external grant funding for the enhancement of the university and its programs.

Grant Operations Process
The grant operations process is guided by a four-phase lifecycle: Identification, Evaluation, Endorsement, and Monitoring. Each phase of the grant operations process ensures that grant proposals remain in compliance with the strategic goals of the university before submissions, during endorsement, and following the reception of the award.

Grant Oversight Action Team
The Grant Action Team (GAT) is a collective of appointed representatives who will evaluate grant proposals using a quantitative scoring matrix. Through this scoring matrix the team will assess each proposal for strategic alignment, financial feasibility, impact, and sustainability relative to the University of Providence. Proposals that meet or exceed the determined scoring thresholds will be subjected to development and internal review before submission.

Grant Scoring Matrix
The grant scoring matrix will be used to evaluate and score grant proposals. Based on a 100-point scale, the matrix includes six key categories: strategic alignment, financial feasibility, student and community impact, project complexity, likelihood of success, and long-term sustainability. Grants scoring 75+ are high-priority, 40–74 are medium-priority, and those below 40 are generally not pursued unless uniquely valuable.
