EXECUTIVE ASSISTANT TO THE VICE PRESIDENT OF ACADEMIC AFFAIRS
Position Summary
University of Providence is seeking a highly organized and detail-oriented Executive Assistant to provide ongoing administrative, planning, and executive support of a highly complex and confidential nature to our university’s Vice President of Academic Affairs. As the Executive Assistant, you will play a crucial role in contributing to the achievement of our organization’s vision, mission, and strategic objectives by providing special project support and assisting the University Provost.
Responsibilities
- Provide comprehensive administrative support to the Vice President of Academic Affairs.
- Draft, prepare, and process all office correspondence with strong attention to detail and accuracy.
- Manage the Vice President’s calendar, schedule appointments, and arrange meetings.
- Research and make travel arrangements, including itineraries, conference registrations, and hotel/flight reservations.
- Maintain office files, archival records, and order office supplies as needed.
- Serve as the recording secretary for meetings and prepare minutes.
- Coordinate and assist in organizing various faculty events and meetings.
- Plan and coordinate special projects as assigned.
- Maintain thorough knowledge of university policies, procedures, and external regulations to ensure compliance within the Academics department.
- Provide administrative support for accreditation processes, including report preparation and proofreading.
- Collaborate with other administrative staff on cross-functional projects as needed.
- Assist with faculty support tasks such as preparing reappointment letters, contracts, and onboarding procedures.
- Ensure faculty files are complete with required accreditation documents.
- Other duties as assigned.
Requirements
Education
- Baccalaureate degree or equivalent combination of education and experience required.
Experience
- Knowledge of and minimum of three years’ experience in higher education desired.
- Successful experience in clerical support positions; demonstrated proficiency in preparing final documents in impeccable form.
- Increasingly responsible positions with supervisory experience. Management or supervisory experience preferred.
